About the Firm: Our client is a distinguished Financial firm located in the heart of the West End, seeking a skilled Office Manager / Team Coordinator to become a vital part of their team. This role offers a prime opportunity to provide administrative support to the team and serve as the first point of contact in their prestigious offices.
Role Overview: The Office Manager / Team Coordinator will be in charge of managing Reception duties, Office Management tasks, and providing Team Coordinator support for the entire office. Candidates should have previous experience in a similar role, outstanding communication abilities, and a proactive approach.

Main Responsibilities:
- To answer all internal and external telephone calls in an efficient and courteous manner.
- Meet and greet clients.
- Respond to emails quickly and efficiently.
- Overseeing two meeting rooms – making sure they are booked and refreshments are setup.
- Deal with collections and deliveries and distribute as required.
- Provide Executive Assistant support to the team of six with duties including travel arrangements within Europe and the USA, calendar management, completing administrative tasks in a timely manner, etc.
- Assist with daily queries, both internal and external.
- Undertake a proactive role within the office to ensure the smooth running of that office and facilities within it.
- Organising contractors for onsite visits and signing them in on arrival.
- Being the point of contact for Health and Safety within the office.
- Ordering stationery and refreshments for the office.
- Dealing with the procurement team.
- This is a busy varied role, and you will be on your feet throughout the day.
- Being reactive to urgent queries and being able to proactively prioritise these tasks.
- Completing Office and Executive tasks and being on hand at all times.
- Proactively organise the office and keep in place processes that have been set up.
- Ability to communicate with people at all levels confidently and professionally.
- Ability to resolve problems quickly, efficiently and in a calm manner.
- Being able to handle multi-tasking and conflicting deadlines.
- Polite and articulate with a polished and professional approach.
- Enthusiastic and approachable.
- Excellent attention to detail.
- Strong organisational skills.
- Adaptable as you may be the only person within the office on certain days and forever changing business requirements.
- Strong IT skills.
- Interpersonal skills.
- Honest and reliable.
- Need strong Team Coordinator/Executive Assistant/Office Management/ Reception experience
- Excellent spoken and written English.
- Good knowledge of Outlook.
- Knowledge of MS systems.
- Confident, diligent, proactive, and self-motivated.
- Highly organized and detail-oriented.
- Proficient in MS Office applications.
- Adaptable and flexible to meet work demands.
